## Understanding RFM analysis in HubSpot

RFM analysis helps businesses understand customer purchasing behaviour through three measures: Recency, Frequency and Monetary value. Together, these measures provide a practical starting point for customer segmentation and more relevant communication.

Recency considers how recently a customer purchased. Frequency looks at how often they purchase within a defined period. Monetary value measures how much they spend over that period. Looking at these measures together gives teams more context than a single purchase or a contact’s most recent interaction.

## Start with reliable customer data

Before using RFM analysis in HubSpot, decide which transactions should count towards each measure. Your approach should reflect your business model, purchase cycle and available data.

For example, a hospitality business might analyse completed stays, while a retailer might use completed orders. Agree how cancellations, refunds and duplicate transactions will be handled so that customer scores remain consistent and meaningful.

It is also important to connect transactions to the correct customer records. Missing identifiers or duplicate contacts can split a customer’s purchase history and produce misleading results.

## Turn customer segments into practical actions

Once the data and scoring approach are agreed, RFM segments can help teams decide where to focus their attention. Customers who purchased recently and return frequently may be suitable for loyalty communications. Previously frequent customers who have stopped purchasing may benefit from a carefully timed re-engagement campaign.

A recent first-time customer may need a different approach: helpful information, a welcome message or a relevant follow-up rather than an immediate sales offer.

These segments should guide decisions rather than replace judgement. Consider customer preferences, communication permissions, service issues and the wider relationship before choosing an action.

## Review and refine your approach

RFM scoring should evolve as customer behaviour changes. Review your time periods, thresholds and segment definitions regularly, especially where purchasing patterns are seasonal.

Start with a small number of clearly defined segments and an action for each one. Measure the response, compare results over time and adjust your approach using the evidence available.

The aim is to make customer data useful: helping marketing, sales and service teams understand different customer needs and respond with greater relevance.
